After this date, registrations can be made at the Congress on-site registration desk. Please print the registration form and bring it with you to the congress.

You should indicate your arrival date/ departure date and the kind of room (single or double use)

Please notice that we only could book the room in case we receive a valid credit card number and expiry date.

Registration fees

All prices mentioned below are free of VAT and quoted in Euro. The registration will be processed once full payment has been received. The conference organiser will not accept any bank charges associated with the transfer of money.

All IFLA members, regardless of category, will be entitled to register at the member rates published. If you are not an IFLA Personal or Institutional Member, but are a member of your national library association in Membership of IFLA, please contact your national association or IFLA Headquarters for the correct membership number. You can find the membership code also in the IFLA Directory or in the Online IFLA Membership Directory.This number should be entered on the registration form.

If your registration form and payment are received after 1 May, 2005, automatically the late fee will be charged.

Confirmation

Congrex Holland BV will send out confirmation of your registration within six weeks after receipt of your payment. If you have not received a confirmation letter six weeks after receipt of your payment, please contact Congrex Holland BV. A final confirmation will be sent to you four weeks prior to the conference. This final confirmation letter must be presented upon arrival at the pre-registration desk (the 'PAID' desk) if the account has been settled, or at the unsettled account-desk (the 'NON-PAID' desk) if a balance is still due.

Alterations

Alterations to your registration will not be accepted over the telephone. Please fax, post or e-mail (wlic2005reg@congrex.nl) any amendments to the Conference Secretariat.

Registration deadline

After 1 August, 2005, pre-registration will close and all new registrations can only be done at the New Registration desk at the Spectrum during the congress.

Cancellations and refunds

Notification of cancellation and refund requests must be submitted before 1 June, 2005 in writing to the Congress Secretariat, Congrex Holland BV. The fee for cancellations received before 1 June, 2005 is Euro 50. For cancellations after 1 June, 2005 no refunds will be given.

Hotel Reservation

Reservations can be made for the major hotels. On the hotel booking form you are requested to indicate the hotel of your first, second and third choice. The Conference Secretariat reserves the right to book another hotel for you, should the desired accommodation be fully booked.

Room Reservations

Your reservation will be handled as soon as the hotel booking form together with the deposit is received by the Conference Secretariat. Participants are advised to reserve hotel rooms well in advance, as rooms cannot be guaranteed after 1 May, 2005. All reservations will be handled on a first come, first served basis, after 1 May, 2005, upon availability.

Room Rates

All rates quoted on the hotel reservation form are per room per night, including breakfast and city tax and in Norwegian Kroner. Deposits will have to be paid in Euro. The deposit will be deducted from your final hotel bill. Please note that the exchange rate used will be set approximately two weeks before arrival to Oslo. The deposit as calculated on the registration form will have to be paid to the congress secretariat directly. Congrex Holland will make the hotel reservation only after receipt of the deposit. Extension of payment until after the congress is not possible.

Changes and cancellations for reservations

Changes and cancellations of reservations should be made directly to Congrex Holland BV in writing only. If notification of cancellation is received in writing by the Conference Secretariat before 1 May, 2005 we will charge your credit card for Euro 50 administration fee. If you have to cancel after the deadline the maximum of one night stay plus 10% of the total reservation costs will be charged. In the case where the hotel is able to re-sell the room only the 10% of the total reservation costs will be charged. Please do not contact the hotel directly as all reservations are handled by the Conference Secretariat.

Confirmation

Within six weeks after receipt of your hotel reservation form and hotel deposit, you will receive a confirmation of your hotel reservation including name, address of your hotel and costs per night. If you have not received any confirmation six weeks after payment of your hotel deposit, please contact Congrex Holland BV.

Hotel Categories and Prices

The prices of the hotel rooms are in Norwegian Kroner (NOK), the local currency. The exact Euro fees depend on the current Norwegian Kroner/Euro exchange rate. Since currency exchange rates fluctuate daily, it is difficult to accurately forecast the exact price in Euros. (Please note, that hotels do not accept Euros.)

Please note that we can only book a hotel for you if the deposit has been paid. The paid deposit will be deducted from your final hotel bill.

Payment of the fees

Payment can only be made in Euro and should be made in advance by:

  1. American Express Card, VISA Card, Mastercard, Diners Club holders may use their credit cards for charging all the costs. The cardholder's name, card number, expiry date of the card and signature should be filled in on the registration form.
    Regretfully other credit cards cannot be accepted.
  2. Banker's cheque forwarded together with the registration form to Congrex Holland.
    The Banker's cheque should be purchased at your bank and made out in Euro to WLIC 2005.
    Please include your name, registration fee/hotel deposit with your banker's cheque.
    It is regretted that personal or company checks cannot be accepted.
  3. Bank transfer in Euro to:

Congrex Holland, the conference secretariat, will not be responsible for identifying funds transferred directly into the account when the name of the participant is not mentioned. Neither will bank charges of bank fees associated with the transfer be accepted.
